Leaving China: Airport Timing, Check-In and Departure Preparation
Plan your departure from China around the correct airport, airline deadlines, transport, baggage and any shopping tax-refund process.
IN THIS GUIDE
Plan backwards from your airline's check-in, baggage and gate deadlines at the correct airport and terminal. Add the city transfer, any tax-refund checks, security and departure formalities. The flight's departure time is not the time by which you can arrive at the airport.
Check your onward entry and transit documents before the final day. If your passport or immigration circumstances have changed during the trip, resolve the applicable formalities with the relevant authorities rather than leaving the question to airline check-in.
The day before departure
Ask Buddy ↗Confirm the flight number, local date, operating airline, airport code and terminal. An overnight departure after midnight belongs to the next calendar day even if you leave the hotel the previous evening.
Review:
- The original travel document and any required onward visa or permission.
- The operating carrier's check-in and baggage deadlines.
- Your baggage allowance and restricted items.
- The transfer route and a usable fallback.
- Any tax-refund goods, documents and inspection arrangement.
- Hotel checkout, luggage storage and the time you must collect bags.
Save the itinerary and contact information offline. Keep enough phone power and a payment method for a changed route.

Illustrative departure planning: work back from the airline's actual deadlines and include each airport task.
Use the exact airport name
Ask Buddy ↗Do not let a city name substitute for an airport code. PEK and PKX are different Beijing airports; PVG and SHA are different Shanghai airports. Check the hotel-to-airport route for the booked terminal, not the airport used on arrival earlier in the trip.
If a service requires a terminal choice, verify it with your airline's current information. A map pin for the airport centre can lead to the wrong road or building.
Useful Chinese request: 请送我去这张机票上的机场和航站楼。 — “Please take me to the airport and terminal on this booking.” Show the confirmed details.
Build the departure timetable backwards
Ask Buddy ↗| Work backwards through | What you need to establish |
|---|---|
| Boarding gate | Gate location, boarding and closure instructions |
| Security and departure checks | Time for the relevant route, document and queue |
| Check-in and bag drop | Airline's airport-specific cutoffs and any counter-only checks |
| Tax-refund process, if used | Where validation and any goods inspection occur |
| Arrival at the terminal | Sufficient room for all required steps |
| Leaving the hotel | Current travel-time range plus a disruption margin |
An airline's recommended arrival time is a starting point. Add more time when you have bulky baggage, assistance needs, a document question or a refund application. Do not schedule the last possible metro or bus merely because its advertised arrival precedes the flight time.
If the transfer includes several services, check that all of them operate at the needed times. Compare the total walk and waiting time, not just the fastest section's duration.

Schematic departure stages: leave the hotel, reach the airport, complete formalities and board. Plan backwards using the airline's actual deadlines.
Tax refunds and checked baggage
Ask Buddy ↗Read the tax-refund guide and the current instructions for your departure port. Know how to obtain the required customs validation and whether goods need to be inspected before they are checked.
Keep the goods, identity and refund records available. Digital processing can change the sequence or paperwork at a particular port, so follow the current signs and official staff instructions rather than a remembered workflow from another airport.
If time is running short, tell the airline or airport staff and ask about your actual options. A pending refund does not guarantee extended baggage or boarding deadlines.
At check-in and security
Ask Buddy ↗Use the operating airline's process even if a different company sold the ticket. Online check-in does not necessarily complete a required passport, visa or onward-document check, and checked baggage still has a deadline.
Before releasing your suitcase, remove anything required to remain in cabin baggage, including permitted power banks and spare batteries. Keep the baggage receipt and confirm the destination on the tag, particularly when connecting.
Check security rules for this departure. Then proceed through the applicable departure controls and reach the gate with time remaining. Follow the actual airport sequence; counter and inspection layouts differ.
If the flight changes
Ask Buddy ↗Check the operating airline's official status and contact the issuing channel about available rebooking or refund options. Keep the notice and ask what happens to checked baggage and onward connections.
Contact separately booked hotels or transport providers as needed. Do not assume every dependent booking changes automatically, or buy a replacement without understanding what will happen to the original fare.
If disruption could affect your permission to stay, contact the local exit-entry authority promptly. A cancelled flight does not by itself settle your immigration position.
Before the phone and SIM are packed away
Ask Buddy ↗Retain access to the number and accounts needed for pending payments, refunds and booking messages. Keep receipts and important travel records securely for later claims or enquiries.
After arriving home, verify outstanding refunds and close any unresolved travel cases through their official channels. Store the useful preparation privately for a future trip.
